Half your enquiries are sitting in an app nobody opened today
Email, WhatsApp, Instagram, the contact form, a note by the till. Every channel is somebody’s job and nobody’s job. The enquiries that get answered fast turn into work; the rest quietly go to a competitor.

Sound familiar?
- A customer says "I messaged you last week" and nobody can find it.
- Two people reply to the same enquiry, with different prices.
- Quotes take days because the details are scattered across three apps.
- Somebody goes on holiday and their inbox goes with them.
- You have no idea which channel actually brings in paying work.
- The same questions get answered from scratch, several times a day.
What it actually costs
Speed decides who wins the job. An enquiry answered within the hour converts several times better than one answered the next day — and the difference is rarely the price. Every message that sits unread is a quote you did not send.
How Capwork fixes it
- 1
Your messages land in one shared inbox
Your existing mailbox, a Capwork address on your own domain, WhatsApp and SMS all arrive in the same place. Nothing depends on who happens to have which app open, and nothing leaves with somebody on holiday.
- 2
Your request form feeds the same pipeline
The request form on your own site does not land in the inbox — it opens a structured request under Orders, already matched to a customer, with the same analysis behind it and the same route to a priced offer. Two doors in, one way to answer.
- 3
Enquiries arrive already understood
Capwork reads the message, works out what is being asked for and what is missing, and matches it to a customer and a service. You open a structured request rather than a wall of text.
- 4
Replies and quotes are drafted for you
You get a draft reply in the customer’s language, priced from your catalogue. Edit it, or send it. What took twenty minutes takes two, so the fast reply becomes the normal reply.
- 5
An accepted quote becomes real work
Accept, and the job exists everywhere it needs to: a booking in the diary with the right people and equipment reserved, and a customer record with the whole conversation already attached. Nobody retypes anything.

FAQ
Your existing mailbox over IMAP, a Capwork address on your own domain, and WhatsApp and SMS through your own provider account. Your website’s request form is separate: it opens a structured request under Orders rather than a message in the inbox.
Not today. The inbox speaks email, WhatsApp and SMS. Further messaging channels are added as each one’s business API allows it — we would rather name the three that work than list ten that do not.
No. It drafts; you send. Nothing reaches a customer without a person approving it. Under the EU AI Act we also tell you plainly where AI was involved.
Capwork works in 24 EU languages. An enquiry in Italian is summarised for you in your language, and the draft reply comes back in Italian.
No. You can keep your mailbox exactly as it is and connect it, or forward to a Capwork address. Either way replies still go out from your own domain.
Data is stored in the EU, and a Data Processing Agreement under Art. 28 GDPR is available. Subprocessors are listed individually rather than as a vague catch-all.
